How To: Print, Copy, and Scan

Learn how to use campus MFD printers to print, photocopy, and scan to your University email or OneDrive accounts.

On Thursday 11 April between 20:00 and 21:00 the IT department will conduct scheduled maintenance on campus printing (MFD) services.

During the maintenance period, all access to campus printing services will be affected (either interrupted or unavailable).

Thank you in advance for your patience and we apologise if this maintenance conflicts with any out of hours activities.

How to use this guide

  • This guide is designed to support both students and University staff with the most commonly-used features of printing, copying, and scanning.
  • You can use the navigation menu to quickly move through this guide.
  • If you see an information tooltip (a small ' i ' in a blue bubble) you can select it to view more detail on a particular phrase or topic.
  • For best experience, we recommend that you view this guide on a laptop/desktop PC.

What is an 'MFD' printer?

MFD is short for Multi-Function Device. You can use an MFD for printing, photocopying, and scanning. MFDs can also staple your documents and offer a range of advanced options to suit your needs.

The campus MFD printers are connected to a printing system called PaperCut, which allows you to sign in to them using your University computing account. You can access additional printing services and manage your printing record through the PaperCut portal.

How to Find and Access an MFD printer

Find your nearest printer

You can use our online campus map to find your nearest printer.

Type ‘MFD Printer’ into the Search box to view a list of all printer locations, by building and by floor. Click a printer from the list of Search results to view it on the map and access directions.

Accessible MFD printers are available in select locations:

Tip: If you are viewing the online campus map on a smartphone, tilt your screen sideways to access the Search box and Search results.

How to Sign In to an MFD printer

  • Tap your Smartcard on the card reader to the left of the touchscreen, or
  • Tap the ‘Sign In’ button on the touchscreen to manually enter your University computing username (example format: ab123) and password.

How to Sign Out of an MFD printer

  • Tap your Smartcard on the card reader to the left of the touchscreen to Sign Out, or
  • Tap the ‘Sign Out’ button (or the smaller ‘exit’ icon, if displayed) on the touchscreen.

The MFD printer will automatically sign you out after one minute of inactivity.

You can safely sign out while your work is printing - your work will not be affected.

Tap the Sign Out button when you are finished with the MFD.

If you have selected an MFD function (like Print Job Release) you can also tap the smaller 'exit' icon to Sign Out.

How to Sign In to the PaperCut Portal

The PaperCut portal allows you to access the Web Print function (for basic printing via the web), the Mobility Print function (advanced printing from your own device while on campus) as well as a history of your printing and environmental impact.

Step 1

Visit https://print.canterbury.ac.uk

Step 2

Click the ‘Sign in with Microsoft’ button.

Step 3

If prompted, follow the onscreen steps to sign in with your University computing account, entering your username (example format: abc123@canterbury.ac.uk) and your computing password.

You may also be asked to authenticate your sign in using one of the authentication methods you have registered against your University account. For more information about authentication please visit this page.

Step 4

You will see the Summary screen of the PaperCut portal, which shows how much printing you have done so far, your Environmental Impact data, and links to access the Web Print and Mobility Print functions.

You can Log out by clicking your username in the top-right corner of the screen.

How to Print from a Campus PC

Printing can vary depending on the software you are using.

In most Microsoft programs (Word, PowerPoint etc.) you should look for the ‘File’ menu, and then click ‘Print’.

For online content (like journal articles, or content accessed from Blackboard) you may need to open the content first, and then look for a printer button. Remember that not all online content can be printed.

Tip: If you get stuck, try the keyboard shortcut Control (Ctrl) + P on a laptop/desktop PC (or Command + P on a MacBook/Mac) which will also open the Print menu.

Which printer do I use?

You can choose from two printing queues:

  • Black&White_CCCU (for black-and-white ‘mono’ printing)
  • Colour_CCCU (for colour printing)

You can then visit an MFD printer to release your printing. (You can release your printing from any campus MFD printer, regardless of which queue you choose.)

How to Print from your own device (including smartphones)

There are two methods for printing from your own device, accessed via the PaperCut portal:

  • Use the Web Print function for quick, basic printing (choice of black-and-white/colour printing, and number of pages).
  • Use Mobility Print for the same advanced options you would see on a campus PC (all of the above options, plus choice of double/single-sided printing, stapling).

How to use Web Print

  • Web Print allows you to send files to a campus MFD printer via the PaperCut online portal, using your internet browser.
  • Web Print has now replaced our older 'i-Print' service.
  • You can also submit your files while off campus and print them when you are next on campus.
  • You can still use Web Print for quick printing while on campus, if you don't have the time to find a campus PC.
  • Web Print is available for Windows, MacOS, Chromebooks, Android, and iOS devices.
Step 1

Sign in to https://print.canterbury.ac.uk with your University computing account details.

Step 2

Select 'Web Print' from the menu on the left side of the PaperCut portal.

Step 3

Click 'Submit a Job'.

Select your preferred print queue (Black&White_CCCU or Colour_CCCU) then click on ‘2. Print Options and Account Selection’.

Enter the number of copies you need to print, then click ‘Upload Documents’.

Upload your file by clicking on ‘Upload from computer’, or dragging your file from the file folder on your device. A list of allowed file types appears under the upload pane.

You can also upload multiple files at the same time, which will will appear as separate thumbnails (a small icon, one per file).

If you want to delete a file you have uploaded, you can click on the ‘x’ symbol above the icon for that file.

Step 7

Click on ‘Upload & Complete’ to send your files to print.

Wait for your files to process (this appears on-screen as 'Rendering Job') and for the status 'Held in a queue' to appear.

You can now visit a campus MFD printer to release your printing.

Your files will be held in the printing queue for 3 days.

If you do not release the files from an MFD printer within 3 days, you will receive an email notification to your University email address 1 hour before the files are removed from the print queue.

If a file is removed from the print queue then you must resubmit it using Web Print, or from a campus PC.

How to use Mobility Print

  • Mobility Print installs the University printing queues directly onto your personal device, so that you do not need to sign in to 'Web Print' every time you want to print.
  • You must be connected to the eduroam University Wi-Fi network to use Mobility Print.
  • Mobility Print is available for Windows, MacOS, Chromebooks, Android, and iOS.
Step 1

Sign in to www.print.canterbury.ac.uk with your University computing account details.

Step 2

Select 'Mobility Print' from the menu on the left side of the PaperCut Portal.

Step 3

PaperCut will identify the device you are using and show you the appropriate steps for installation.

The installation steps may vary depending on the device you are using. For example, an iPhone will install a printing profile but an Android device will direct you to an app on the Google Play store.

Carefully follow the steps as shown on your device to complete the process, and do not attempt to install any apps without first signing in to the PaperCut portal.

Step 4

Once installation is complete, send your file to print using the app/software of your choice, and choose your preferred print queue (Black&White_CCCU or Colour_CCCU).

Step 5

You will be asked to enter your University computing username (example format: ab123) and password before your file can be sent to the printer. 

Step 6

Tap the Print button if prompted by your device. You can now visit a campus MFD printer to release your printing.

How to Release your Printing from an MFD printer

Step 1

Sign In, then select the ‘Print Release’ button on the home screen.

The documents you sent for printing will appear in a list. Tap individual files to select/deselect them, or tap the check box above the list to select all of the items on the current page.

Step 3

Tap the ‘Print’ button to proceed. Files will be removed from the list when they have been printed.

(If there are files you want to delete from the list without printing them, select them using the checkboxes and tap the Bin icon next to the Print button.)

You can Sign Out of the MFD printer completely by tapping the Exit icon next to your name (on the right of the screen), or you can tap the Home button (the house icon) to return to the home screen.

How to Copy

Step 1

Sign In, then select the ‘Copy’ button on the home screen.

Preparing to copy single-page or non-A4 documents:

  1. Open the scanning bed on top of the MFD printer.
  2. Place your documents face down, aligned with the top-left corner of the glass - there are markings to help you.
  3. Close the lid of scanning bed again before you continue.
    If you are scanning a larger object like an open book, gently close the lid as far as it will go without force. Do not look directly at the light when scanning is underway.

Preparing to copy multiple A4 pages at once:

  1. Remove all staples, paperclips or other objects from your pages.
  2. Straighten any curled/folded pages and gather them into a neat stack.
  3. Place your pages into the top loader, positioned face up in a portrait orientation - there are adjustable guides and markings on the top loader to help you.
  4. You will hear a 'beep' when the MFD recognizes that pages have been inserted.

Step 3

You can specify double-sided copying and colour copying with the buttons on the left of the screen.

For more advanced options, tap the ‘Options' button at the bottom of the screen.

Step 4

Tap the preview pane to see what your copy will look like before it gets printed.

  • If you need to change something, tap the red ‘x’ button to cancel, then readjust your document/options as needed before trying again.

Once you are happy with the preview image, enter the number of copies you need (at the bottom-right corner of the screen), then tap the ‘Copy’ button to proceed.

Step 5

Collect your copies from the bay beneath the touchscreen.

Tap the return symbol (the arrow) at the top-left corner of the screen to go back to the Home screen and Sign Out.

How to Scan to your University Email account

Did you know?

Unlike photocopying or printing, scanning to your University email or OneDrive accounts consumes no paper or ink, and does not count towards your Fair Use printing allowance.

Your scanning will be sent to your University email address or OneDrive account for easy access and sharing. Please scan if you can!

Step 1

Sign In, then select the ‘Scan to Email’ button on the home screen.

  1. Open the scanning bed on top of the MFD printer.
  2. Place your documents face down, aligned with the top-left corner of the glass - there are markings to help you.
  3. Close the lid of scanning bed again before you continue.

Step 3 (Optional)

Tap the Subject, File Name, and Message fields to enter your own custom text. This may help you to tell your scanned files apart from each other when they all arrive in your email inbox.

Step 4 (Optional)

Tap the ‘Options’ button at the bottom-left of the screen to change scanning settings (black-and-white/colour scanning, resolution etc.) if needed.

Tap the preview pane to see what your file will look like before it gets scanned.

  • If you need to change something, tap the red ‘x’ button to cancel, then readjust your document/options as needed before trying again.

Once you are happy with the preview image, tap the ‘Send’ button to proceed.

Step 6

How to Scan to your University OneDrive account

Step 1

Sign In, then select the ‘Scan to OneDrive’ button on the home screen.

Step 3
  • Tap the Filename field to change the name of the file. (This is optional but may be useful if you are scanning lots of documents.)
  • Tap the Change settings button to access options like 1-sided/2-sided scanning, page orientation, and more.

If you do not change any settings, the default scan settings are:

  • 2-sided scanning
  • Portrait orientation
  • A4 page size
  • Colour scan.

Step 4

Once you have chosen your preferred settings, tap the ‘Start’ button. The MFD will scan your documents.

Step 5

Once all pages have been scanned, the MFD printer will ask you if you have any more pages to scan. You can press ‘Scan’ (after you have put your next page into the scanner) to add more pages.

If you have nothing left to scan, press 'Done'. Your scan will be processed.

Step 6

Once your scan has been processed, you can choose to scan a new document, or tap ‘Finish’ to return to the home screen and Sign Out.

How to Authorize your Scans

Important:

The first time you use the ‘Scan to OneDrive’ feature, you will be sent an email from scans@papercut.com.

The Subject line of the email will be Authorize Scans for PaperCut MF to save to your OneDrive for Business. It can take up to 30 minutes for this email to arrive at your University email address.

When your authorization email arrives, click the green 'Login to OneDrive for Business' button to authorize all future scans.

The button will be active for 24 hours, and your scan will be deleted if you do not complete the process. You will only need to authorize once, and never again for any future scans.

Where are my 'Scan to OneDrive' files saved?

Once you have authorized your scanning (as detailed above) your files will be sent directly to your University OneDrive.

You will also get an email notification from scans@papercut.com with a quick link to your file in it.

Please note: the campus MFD printers cannot send your scanned files anywhere else.

To find your files later:

Step 1

Sign in to your University OneDrive account with your University computing username (example format: abc123@canterbury.ac.uk) and your computing password.

You may also be asked to authenticate your sign in using one of the authentication methods you have registered against your University account. For more information about authentication please visit this page.

Step 2

Click My files > Apps > Scans for PaperCut MF.

This folder will be created automatically, so do not worry if you cannot see it before you have scanned something.
