Processing your data for your graduation

In order to arrange your event, the Graduation team, will need to process and store your personal data.

This is in accordance with the data protection legislation and General Data Protection Regulation (GDPR).

What information do we collect about you?

Most data we store and process about you is drawn from your student record. This includes your name, contact details, qualifications which you are awarded and academic record while at the University. We do not process data regarding your date of birth, ethnicity, or make use of your CCCU student photograph.

You will be asked to confirm if you require special arrangements in order to attend the event when booking your ticket in MyRecord. Disclosed personal data relating to disabilities and special arrangements for students will be processed by the Student Support and Wellbeing Office and only relevant information passed to the Graduation team.

How do we use the information we collect about you?

We will process your data in order to:

  • identify which ceremony you are eligible to attend and make necessary arrangements for the conferment of your award (including arranging your gown and compiling the graduation ceremony programme)
  • send you invites via your personal and CCCU email addresses
  • agree special arrangements if you need these to attend the event.

Storing your personal data

We store the data that we process (including your name, details of your contact details, your academic record while at Canterbury Christ Church University, including details of any degrees which you are awarded, personal data on any disabilities that are disclosed to the Graduation team and any email correspondence) for 2 years.

Sharing your personal data

We share your data including award title, surname and student ID number with Ede & Ravenscroft, our preferred gown suppliers, to confirm the appropriate gown for your award. This data will be shared the week before you receive a formal invitation to a Graduation Ceremony so that you can order your gown in a timely manner.

If you or one of your guests require any special arrangements to attend the ceremony, this information will be shared with our hosting venues (Canterbury Cathedral and Rochester Cathedral) so that the necessary provisions can be put in place.

Event programme

Your student name will be listed underneath your award title and subject within the course published by the University. Classifications are not published.

If you do not wish for your name to appear underneath your award title in the course please email i-zone@canterbury.ac.uk at least 5 weeks before the event after which programmes are confirmed and printed and no changes can be made.

During the ceremony

Ceremonies are live-streamed and will be made available online after each event on the University’s YouTube channel. If you do not want to appear in the live streaming and the subsequent YouTube video release, we regret that you will be unable to participate in the ceremony.

The following are mandatory conditions for attending your ceremony:

  • Students’ names will be called out but classifications will not be read out.
  • Students will go onto the platform and shake hands with the Presiding Officer before leaving the platform.
  • All Graduation ceremonies are live-streamed; recordings will be made available shortly after the events on the University’s YouTube channel. If you do not want to appear in the live streaming and the subsequent YouTube video release, we regret that you will be unable to participate in the ceremony.
  • Recordings and photographs may be used in the future to promote activities of Canterbury Christ Church University. This could be online or in printed promotional materials.
