Fines and Overdue Items

We want everybody to have a positive experience using our libraries, and we really don’t like issuing fines. See 'How to avoid fines' below to ensure you avoid charges.

Fines apply to everyone. The fine rates are fairly balanced not to disadvantage any user but at the same time act as an incentive for borrowers to return items on time so that they are accessible to all.

The good news is that there are no fines unless your loan has been requested by someone else.

If a reserved item is not returned on time:

week loans incur a fine of 20p per day (or part thereof).
7 day loans incur a fine of 50p per day (or part thereof).

You will be unable to borrow any further items until the reserved item is returned.

Fines for an overdue item are calculated automatically by the Library Management System when the item is returned. Although you will be able to see a fine increasing if you look on your Library account, you will not be able to pay it until the item is returned.

The maximum fine per item is £14.00 for each loan.

Fines can be paid by cash or debit/credit card.

  • at the self-issue machines
  • at the Library Point at Canterbury
  • on the phone by calling the Canterbury library when the Library point is open on 01227 782352
  • via our online payment system. We will apply the payment to your Library account by 12:00 noon the next working day; if you have fines of £10 or more, your borrowing rights will remain suspended until we've processed the payment; we'll remove any fines incurred between the time of the payment and processing.

Your Library account will be suspended if:

  • you have unpaid fines of £10 or more
  • you have an overdue loan that has been reserved by another user.

This means you can't borrow new items but your access to online resources will still be available. To remove the suspension, you'll have to reduce your fines to under £10 or return the overdue item.

If the item is still overdue after 14 days, we must assume them to be lost and charge you for the cost of purchasing a replacement copy (including a £5.00 administration charge). We will send you the bill by email. If the bill is not paid after 14 days from the date of the bill, we will raise an invoice through the University Finance Office. These charge will then be collected by Finance's usual debt collection mechanisms.

  1. Check your Library account and email regularly to make sure you know whether any of your loans have not been automatically renewed because they have been reserved by another user.
  2. Check your email for library notices - but please don't rely on them, as we can't guarantee you'll get one for each item that is due.
  3. Be ready to return an item at the end of its loan period. Don’t assume that it will be automatically renewed because it can be reserved by another user.
  4. Don't lend your library books to others - you are responsible for any fines or lost items on your account.

If you have been unable to return loans due to illness or other extenuating circumstances, you can appeal against the fines on your library account.

We will normally require evidence to go with your appeal such as a fit note.

If you think you've lost an item you've borrowed, contact us as soon as possible. We will:

  • note on your Library account that the item is lost and, if appropriate, search the shelves.
  • if the item is overdue, note the fines accrued up to the date you report the item lost.

If the item is not located, a charge of the cost of replacement plus £5 for processing will be added to your Library account. We do not accept items purchased by the user.

If you find and return the item later on, you will be charged the fine or cost of replacement, whichever is the lesser amount.

If the item is lost in the post, it is your responsibility to arrange the recovery of the costs of the courier.

Lost Items can be paid:

  • at the Library Point at Canterbury
  • on the phone by calling the Canterbury library whilst the Library Point is open on 01227 922352
  • via our online payment system. We will apply the payment to your Library account by 12:00 noon the next working day.

If you think an item is on your account which shouldn't be, please contact us and let us know. We will mark the item accordingly on your account and ensure regular checks in the Library are made for it. Whilst we look in our libraries, we ask you to check at home, work or anywhere you might use the books.

If the book is not located after four weeks it will be treated as a lost item.

If you can’t get a book back to us in time or are worried about fines, get in touch as soon as possible. We'll do our best to resolve your problem.

We can renew books for you over email or over the phone, or check if another copy is available when someone has recalled a book from you and you have difficulty returning it in time.
