Absence from the University & Requesting Concessions

1.  Reporting absence though illness or misfortune which does not affect
          an assessment

If illness/misfortune has resulted in you being absent from your studies for a period of time in which no assessments have taken place and you wish this to be considered by the Board of Examiners, you should complete a 'Concessions Request Form' (available either from the link below or your Departmental Office) and submit it within 7 days of your return to study to your Departmental Office.

Please note: it is important that you notify your Department beforehand, where possible, of any likely absence.

2.  Reporting absence through illness or misfortune which affects an
          assessment

If illness/misfortune has either caused you to miss an examination or coursework submission date and you wish this to be considered by the Board of Examiners, you will need to complete and return to your Academic Department a 'Concessions Request Form' (available either from the link below or your Departmental Office).

Please Note: any request for consideration regarding an examination or coursework submission date must be submitted to the University within 7 days of the affected assessment.  In addition it is important that you notify your Department, where possible, before missing an examination or coursework submission date.

3.  For reporting the impairment of your academic performance

If you consider that illness/misfortune has adversely affected your academic performance (regardless of the period of time affected), but has not resulted in absence from the University or missing of an assessment deadline, you can request that this be considered by the Board of Examiners.  To do this, you should follow the guidelines set out in your departmental/programme handbook.  This will include submitting a Concessions Request Form to your Academic Department.

Please note: All requests for consideration of impaired performance will require supporting evidence to be supplied.

4.  I have been absent for up to 14 days, do I need to provide evidence to
         support my Concessions request?

In cases where you have been absent from the University for up to 14 days, whether this has impacted on an assessment or not, evidence in support of your request is normally considered optional.  However in cases where an examination has been missed during this period, you are required to supply supporting evidence.

5.  I have been absent for more than 14 days, do I need to provide
         evidence to support my Concessions request?

In cases where you have been absent from the University for more than 14 days, whether this has impacted on an assessment or not, or where you are requesting considerations of impaired academic performance, evidence is required to support your request.

Please note: failure to provide evidence may result in your concessions request being returned as incomplete.

6.  Leave of absence for scheduled future appointments or events?

If you require a leave of absence from the University because you are anticipating a scheduled event in your life at some point in the future, you must apply to the Director of Student Support and Guidance for approval by completing a 'Leave of Absence' form.  This form can be downloaded from the link below.

8.  Misuse of the Concessions process

Where it is suspected that there has been misuse of the concessions request process by students, this will be addressed using the University's Student Disciplinary Procedures.  Such matters are dealt with by the teaching Department in the first instance and then, for more serious cases, referred to the Director of Student Support and Guidance.
