Postal Services
The mail room is located in Ab03 adjacent to the SCR pigeon hole room and is staffed between 0830 – 12.30 and 12.50 – 1730 hrs
Monday to Friday. Hall Place, Broadstairs, Medway and Salomons have their own postal arrangements.
The mail room deals primarily with processing and dispatching of outgoing mail including that to and from Rochester House and Augustine House.
The mail room cannot accept private mail.
Post is recharged on a monthly basis to the relevant department. Please ensure that you clearly indicate, on the top left hand cover, the corresponding department code. Please also indicate if the mail is to be sent first or second class (where possible mail is to be sent second class). It does help the mail room staff if the mail is bundled together by class with each item facing forward. Please ensure that international mail is segregated and presented as such.
Please do not use staples to secure your envelopes as these can jam the franking machine as well as be a hazard to the operator.
Outgoing mail should be handed in to the mail room staff via the pigeon hole room or, if the office is closed, a letterbox is available for use adjacent to the external mailroom door opening on to the pond quadrangle. Staff at Augustine House and Rochester House should ensure that their mail is in their respective reception areas by 3pm to enable same day franking.
Incoming mail will be sorted by the mail room staff into the pigeon holes assisted by the Security staff each morning. Mail received for staff (both internally and externally) at Rochester House and Augustine House will be delivered twice daily by our courier service.
Incoming recorded mail (staff) will be retained in the mail room (Ab03) for collection against a signature having been e-mailed a request to collect. Please note that this will be available during the above mentioned opening hours only. Recorded delivery items for staff at Rochester House and Augustine House will need to sign for receipt at their respective receptions.
Incoming recorded mail (students) recipients will be notified via e-mail and the item will be held by the security team and issued against a signature and identification from Ag01 (Anselm Foyer).
Pigeon holes are maintained by the mail room staff.

Since 21 August 2006, mail is priced according to weight and dimension. Please refer to the Pricing in Proportion page for further information. There is a size guide in the mail room and the mail room staff can offer advice on the most economical way to despatch your mail.
Mailshots - Please call the mail room on Ext.2090 to book a mailshot. They will need 24 hours notice as well as an indication of the quantity, size and class. If your mailshot is bulky, you will also need to contact Logistics on Ext.2014 and book them to bring your mailshot to the mail room. Parcels - Items weighing less than 2kg can be sent through the mail room. If your item exceeds this amount, or if it is unusually shaped, it can be sent through Goods Inwards, who will use DHL.
Inter Campus Courier Service will collect directly from the mail room each weekday morning. Please ensure that your internal mail is clearly marked with the addressee’s name, room number and location. If you are re-using internal envelopes please ensure that previous addresses are clearly crossed out. Please refer to the Courier Service page for further information.
UK Recorded Delivery - This is a service giving a signature at point of delivery costing .70p, plus the normal cost of posting (either first or second class). It does not guarantee next day delivery. Further details are available from the mail room or from www.royalmail.com.
Special Delivery - This service provides for items that require next day delivery by 1pm. There are levels of compensation bands for consequential loss or damage. The service is trackable on line. Further details on this service are available from the mail room or from www.royalmail.com.
International Mail - The majority of international post is sent by air mail via the Royal Mail. Please ensure you segregate and clearly mark those items intended for air mail. The mail room staff will add a blue air mail sticker.
Airsure - A fast secure service to 28 destinations worldwide for items up to 2kg in weight. Mail receives priority handling in the UK and abroad. You can track an item's entire journey on line and it is electronically scanned at destination to confirm arrival. Further details and costs are available from the mail room.
International Signed for - This service ensures safe delivery of an item of 5kg to almost anywhere in the world. A signature is taken at the destination. Further details and costs are available from the mail room.
Inter Campus Courier Service - The service is designed to transfer mail and small packages between locations. The driver is unable to carry hazardous materials, cash or passengers.
