Hospitality Ordering Guidelines
Introduction
These guidelines are offered to assist relevant staff
responsible for arranging events, education, training or
meetings that requires hospitality (catering).
These Guidelines assume the following
Income from the provision of hospitality to the customer will
cover the costs associated with providing a catering service in
and outside core hours:
Minimum order value of £10 will apply for
all deliveries.
Campus Catering Services fully meet their publicised Service Level Agreement to provide best quality of service.

Special Diets
Customers requesting Vegan, Kosher, Halal,
Dairy/Nut/Gluten Free catering must advise Conference & Events /
Catering who can assist with deciding on the appropriate menu
choices.
Alterations to the Menu
The Conference & Events / Catering team will be very
happy to assist or provide advice regarding mixing or matching
of menu components.
Any late orders for food received within 48 hours of
the proposed service cannot be guaranteed, however every effort
will be made to fulfil such requests. Please confirm receipt of
your late order with the Conference & Events team as soon as
possible.
Hospitality Service Out of Core Hours
Normal Hours:
Monday to Friday: 8.00 –
20.00
Saturday:
9.00 – 14.00
A labour supplement charge for any out of core hour
requests will be made as follows.

Monday to Friday:
After 20.00 staffing cost of £10.00 per hour per member of
staff.
·
Saturday: After 14.00
staffing cost of £10.00 per hour per member of staff
Note: Hall Place and UCF are
closed on Saturdays.
VAT
Please note that hospitality bookings not supplied
to internal universality customers will have VAT (at the current
rate) applied. If
you are not sure whether VAT is applicable please confirm with
the Conference & Events team.
Cancellations and No Shows
Any cancellation of hospitality requests within 24
hours of service delivery will result in a 100% charge (only for
food) being applied to the customer.
Any cancellation of hospitality beverage requests
within 8 hours of service delivery will result in a 100% charge
being applied to the customer.
Please note that all hospitality order forms are to
be sent via email, a confirmation email will then be sent to you
confirming your order. Upon receipt of the email it will be in
the understanding that the budget holder has agreed to the
order.
University Campus Catering Services are the only
organisation to provide any form of hospitality (catering
service) on University premises.
Staff and students are not permitted to bring in their
own hospitality or to arrange to bring in external catering
providers for events or meetings without the prior approval of
the Catering Manager.
Any Beers, Wines or Spirits brought into the
University by customers or guests must be with the prior
authorisation of the Conference and Events Office when a corkage
charge will be levied.
