Vista and Office 2007– Frequently Asked Questions

Q – What is Vista and Office 2007?
A – Vista is the operating system on your computer. Office 2007 is the suite of programs most commonly used, eg Word, Excel and PowerPoint.

Q – When will my computer be migrated?
A –
The migration started in mid-June 2008 and is scheduled for completion at the end of April 2009. We can’t give you a specific date until nearer the date your department will be migrated. Click here to see a rolling schedule. The Vista Upgrade Team will be in touch with you nearer the time but if you think you have a good case to be migrated early, please contact vista-upgrade@canterbury.ac.uk.

Q – Will my computer look different after it has been updated?
A –
Yes. Click on this link for a Microsoft Vista Quick Guide.

Q – What will happen to my existing documents?
A –
You will still be able to open, edit and save the documents.

Q – Will I be able to read my colleague’s documents if they haven’t been migrated and I have?
A –
Yes. Office 2007 can read files created in earlier versions.

Q – Will they be able to read and edit my documents?
A –
Yes. Office 2007 will be set to save to 2003 format until all computers are migrated. If, by accident, a file is saved in 2007 format, Office 2003 has a filter that allows it to open Office 2007 files. However, any features new to Office 2007 will be lost.

Q – What about Microsoft Access? I read somewhere that this won’t default to 2003 format.
A –
That is correct. When you save your file, you need to click on the Microsoft Office button (in the top left-hand corner of the screen) and chose "File, Save As" and chose "Access 2002-2003 Database"

Q -  I get a Security Warning when I open an existing Access Database.  Why is this and what should I do?
A -  Access has this feature to try and prevent harmful macros (mini-programs within Access) running on your computer.  To prevent this happening, click on this link for instructions.

Q – What about students’ work?
A –
We recommend you ask them to save their work in Office 2003. Warn them that if they use features new to Office 2007, these will be lost when they save in 2003.

Q – What if the student doesn’t save in Office 2003 format?
A –
Your software will convert their file to Office 2003. Again, warn your students that if they have used features new to Office 2007, these will be lost when you open the file in Office 2003.

Q – How do we specify which version we save our work in?
A –
Click on the Office button in the top left-hand corner of your screen. This will open a drop-down menu. Click on Save As. In the window that opens, near the bottom, there is a box “save as type”. This should be “xxxx 97-2003 document (.doc)” to save in Office 2003 format.

Q – What about the software I have loaded on my computer?
A –
Keep a record of any software that is specific to your computer. You will be asked for this in preparation for your computer migration. You will have to have the disks or details of the software source (eg if freeware) and licence details if applicable.

Q – What if I don’t have the licence or disks?
A –
Contact the Computing Liaison Team.

Q – I use Schedule Plus on my computer. Will it still work?
A –
No. You need to move to Outlook Calendar.

Q – I like the new features in PowerPoint. Is there anything I should be aware of?
A –
Yes – If you save the file in Office 2003 format, any new features you have used will be lost. If you save it is Office 2007 format, you will not be able to run the presentation on computers with Office 2003.
