  1. FUNCTION

    The main function of the Staff Association shall be to provide social activities for its Members. It shall also provide a forum for the discussion of non-academic issues relating to the life of the College and the welfare of its Members.

  2. MEMBERSHIP

    There shall be two categories of membership: Full Members and Honorary Members.
    1. Full MembersFull Membership is open to the Principal and all other members of staff. Members are entitled to vote at the Annual General Meeting and are eligible to serve as a Member of the Committee. They are entitled to concessions for certain events as determined by the Committee.
    2. Honorary Members

      Honorary Membership may be conferred upon retired and past members of staff and members of the community as agreed by the Committee.

  3. OFFICERS AND COMMITTEE

    1. The Committee shall consist of four Officers and at least four Committee Members, to be elected from the Full Members at the Annual General Meeting.

    2. The Officers of the Staff Association shall be the President, the Vice President, the Secretary, the Treasurer.

    3. Nomination forms for Officers and Members of the Committee shall be circulated with the notice of the meeting and be returned to the Secretary no later than seven days before the A.G.M. Ballot papers, if required, shall then be prepared for use at the A.G.M. No nominations may be taken at the A.G.M unless vacancies still exist.

    4. The Officers and elected Committee Members shall have the powers to co-opt further Full members to the Committee as required.

    5. The Committee shall have the power to form ad hoc sub-committees, and may co-opt any other Members for these sub-committees.

  4. MEETINGS

    1. There shall be four categories of Meetings:
      • General Meetings
      • Committee Meetings
      • Annual General Meetings
      • Special Meetings

    2. General Meetings shall be called as required, by the Secretary acting for the Committee, and an Annual General Meeting shall normally be held during the Michaelmas Term, at which the Officers and Committee shall be elected, and at which the Treasurer shall present the annual statement of accounts.

    3. The Secretary shall normally give 14 days’ notice of General Meetings and 21 days’ notice of the Annual General Meeting.

    4. Special Meetings may convened at any time, either by the Secretary, or on written demand to the Secretary; such meetings to be limited to dealing with the special matter concerned.

    5. Committee Meetings may be convened at any time by the Secretary; such meetings to deal with organisation of social events and discussion of non-academic issues.

    6. Annual General Meetings, General Meetings and Special Meetings may not take place unless there is a quorum, the said quorum to consist of ten people.

    7. Committee Meetings may not take place unless there is a quorum, the said quorum to be one half of the Officers and the Members of the Committee.

  5. FINANCES

    There shall be an annual subscription for Full Members, the amount to be determined at the Annual General Meeting.

  6. AMENDMENTS TO THE CONSTITUTION

    Amendments to this Constitution may be made at an Annual General Meeting or at a Special Meeting called for the purpose (with 21 days’ notice given to Members) provided the Secretary has received written notice of the amendments, properly proposed and seconded, and has published the amendments to Full Members, giving them at least seven days’ notice.
